A PDF becomes large mostly because of the images inside it — scanned pages and photos. Text and vector drawings take very little space. Compression works by storing those images more efficiently.
Choose the right level
In PDF Compress, the recommended level keeps text perfectly sharp and reduces photos to a resolution that still prints well. Use the strongest level only when a portal has a very small limit.
Still too big? Split it
If an email or website allows, say, 10 MB per file, Split PDF by File Size breaks the document into parts that each fit the limit, without changing the pages.
Good habits
- Scan documents at 200–300 DPI, not higher.
- Prefer "black and white" scan mode for text-only pages.
